Privacy Policy

The short version

We only collect the information we need to dispense your prescription and look after your care. We never sell your data, and we never share it for advertising.

Information about your health is confidential. It is protected by law, and by our professional duty of confidentiality as pharmacists.

Who we are

Pharmacy Hub Killinarden is a pharmacy registered with the Pharmaceutical Society of Ireland (PSI), at Mace, Killinarden Heights, Whitestown Road, Tallaght, Dublin 24, D24 W0CX. Our Superintendent Pharmacist is Michelle O'Hagan (MPSI).

We are the data controller for the personal information you give us. That means we decide how and why it is used, and we are responsible for keeping it safe.

What information we collect

Depending on what you ask us for, we may collect:

• Who you are and how to reach you — your name, phone number, email address, home address and Eircode.
• Your prescription and health information — the medicines you are prescribed, the prescription itself or a photo of it, your allergies, relevant conditions, your answers to our screening questions, and any notes you give us.
• Scheme details — your Medical Card (GMS), Drugs Payment Scheme (DPS) or Long-Term Illness number, where these apply.
• Booking details — the service you want, your preferred date and time, and the reason for the consultation.
• Technical information — basic details such as your device and browser, used to keep the website working and secure.

Health information gets extra protection

Information about your health is "special category" data under the GDPR, and the law gives it extra protection.

We process it to provide you with healthcare, under Article 9(2)(h) of the GDPR and Section 52 of the Data Protection Act 2018, and — where you have given it — on the basis of your explicit consent under Article 9(2)(a). It is handled only by pharmacy staff who are bound by professional confidentiality.

Why we use your information, and our legal basis

• To dispense your prescription and provide pharmacy services — to perform our contract with you (Art. 6(1)(b)) and to provide healthcare (Art. 9(2)(h)).
• To contact you about your prescription or booking — to perform our contract with you, and our legitimate interest in looking after your care.
• To meet our legal and professional duties — record-keeping under the Medicinal Products regulations, PSI standards and other pharmacy law (Art. 6(1)(c)).
• To claim reimbursement under HSE schemes (GMS, DPS, Long-Term Illness) — legal obligation and performance of our contract.
• To keep our website safe and working — our legitimate interest in a secure, functioning service.
• To send you a newsletter or health updates, if you ask for them — your consent (Art. 6(1)(a)). You can unsubscribe at any time.

Photos of your prescription

If you send us a photo of your script, it is transmitted over an encrypted connection and stored in our secure pharmacy system. It is used only to prepare and dispense your prescription.

It is never published, and it is not visible to other customers. For some medicines — including controlled drugs — we must still receive the original paper prescription before we can dispense.

Who we share it with

We share your information only where we need to, and only with:

• The HSE and the Primary Care Reimbursement Service (PCRS), where we claim under the GMS, DPS or Long-Term Illness schemes.
• Your GP or prescriber, where we need to clarify, confirm or query a prescription — including securely by Healthmail.
• Freemi, our technology provider, which supplies and supports this website and our pharmacy dashboard. Freemi acts as a data processor strictly on our written instructions under a data processing agreement, and may not use your information for its own purposes.
• Google (Firebase / Google Cloud), which hosts the website and our secure database as a sub-processor.
• Our regulators, or An Garda Síochána and the courts, where we are legally required to do so.

We never sell your personal information, and we never share it for advertising or profiling.

Where your information is stored

Our systems are hosted on Google Cloud / Firebase infrastructure. Wherever possible your data is stored on servers within the European Union.

If any information is transferred outside the European Economic Area, it is protected by an adequacy decision or by Standard Contractual Clauses approved by the European Commission, together with appropriate safeguards.

How long we keep it

We keep your information only as long as we need it, and as long as the law requires:

• Prescriptions and dispensing records — retained for the period required by the Medicinal Products (Prescription and Control of Supply) Regulations.
• Controlled drug records — retained for the period required under the Misuse of Drugs Regulations.
• Consultation and patient care records (including the Common Conditions Service and weight-loss consultations) — retained in line with PSI guidance and our professional obligations.
• Website enquiries and bookings that don't proceed — deleted within 12 months.
• Newsletter sign-ups — kept until you unsubscribe.

When we no longer need your information, it is securely deleted or destroyed.

Keeping your information safe

• All information you send through this website travels over an encrypted (HTTPS/TLS) connection.
• Access to your records is restricted to pharmacy staff who need it to care for you, and is protected by individual logins.
• Our staff are trained in data protection and are bound by a professional duty of confidentiality.
• Our systems and our technology provider are covered by contractual security and confidentiality obligations.

Your rights

Under the GDPR you have the right to:

• Access your information, and get a copy of it.
• Correct anything that is wrong or incomplete.
• Erase your information — though we may have to keep clinical and dispensing records where the law requires it.
• Restrict or object to how we use it.
• Data portability — receive your data in a portable format.
• Withdraw your consent at any time, where we relied on consent. This does not affect anything we did before you withdrew it.

Cookies

We use only the essential cookies and local storage needed to make this website work (for example, remembering where you are in a form). We do not use advertising cookies, and we do not track you across other websites.

Children

We provide pharmacy services to people of all ages. Some services have age criteria — for example, parts of the Common Conditions Service. Where a request is for a child, it should be made by a parent or guardian.

Complaints

If you are unhappy with how we have handled your information, please tell us first — we would like the chance to put it right.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed. If we make a significant change, we will make that clear on this page.
